Services and Timelines

These are the services we offer and the estimated timelines* for each. You can initiate any of the projects below by filling out this marketing request form. We strive to do our best to accommodate your requests. In the case of limited capacity, we will make recommendations for alternate services. 

*Please remember, if your project is connected to an event, add another two–four weeks to the timeline so that projects are completed with enough time for attendees to register.

WHAT WE DO

ADVERTISING

2 – 4 weeks from run dates

  • Local newspaper digital or print ads
CREATIVE DESIGN MATERIALS

4 – 8 weeks

Timelines for creative design vary significantly depending on the individual project. Please consult with your account executive to determine project timeline.

  • Template creation
  • Visual concept development
EMAIL

2 – 4 weeks

  • eNewsletters
  • Targeted messages
  • Event invitations via Emma email system
  • Promotions
  • Provide email templates
PHOTOGRAPHY

4 – 6 weeks

Photo projects require a minimum of two weeks notice prior to the photo shoot. Photo editing requires an additional two weeks. 

  • Photo management, if you are looking for an existing photo, check our archive: ohiouniversity.photoshelter.com, click here to access the Division archive directly
  • Portraits (offered annually to each department, and for incoming employees as needed)
  • Group and event photography (refer to the archive first to see if your event or program has been photographed within the past three years)
PRODUCTION

2 – 3 weeks (Large installations will vary by scope. Please also account for creative design timelines.)

  • Oversight and coordination of print and installation via University Printing Services
  • Jobs are billed as outlined in the marketing request
  • Delivery of materials to department
  • Distribution of digital slides
  • Distribution of digital and print ads via The Post
SOCIAL MEDIA

Timelines are variable by project scope, contact your account executive to discuss:

  • Management of Division priority channels
  • Share information from Division partners
  • Micro-promotions (2–3 posts per subject)
  • Social media campaigns for longterm priorities 
  • Support Division partners with brainstorming content for self-run accounts
  • Analytics reporting
  • Social media audits
  • Suggestions for posts to priority channels
STRATEGY

10 – 16 weeks

  • Communication strategy and marketing proposals
  • Brand direction 
WEB SUPPORT

Timelines are variable by project scope. Contact your account executive to discuss:

  • Migrations to new content management systems that are led by the Office of Information Technology (OIT)
  • New website creation
  • New web page creation
  • Navigation changes
  • Design updates
  • Complex updates
  • User experience evaluations 
WRITING SUPPORT

4 – 6 weeks

  • Profile or feature of Division program, resource, staff member, student, event promotion or newsletter content
  • Copy editing
  • Edit copy for web pages

WHAT WE DON'T DO

CREATIVE DESIGN MATERIALS
EMAIL
  • Build and distribute emails through department specific systems — all emails managed by SACM are sent via the university’s centralized email system, Emma
  • Build and distribute department emails
PRODUCTION
  • Manage production with external print vendors (e.g., Precision Imprint)
  • Ordering promotional materials (e.g., t-shirts, swag, etc.)
  • Distribution of print materials
  • Price negotiation
SOCIAL MEDIA
  • Manage or write content for department-run accounts
  • Run ads or boost posts
  • Manage mobile applications
  • Make posts with the goal of having them "go viral"
  • Last-minute posts to channels, including emergency messaging
STRATEGY
  • Departmental prioritization 
  • Managing marketing budgets
  • Posting events to programming calendars (e.g., Calendar of University Events)
  • Tabling and outreach activities
  • Internal department communication strategy or marketing (e.g., newsletters to student staff)
  • Program development or planning
  • Building surveys or creating forms
  • Media relations — Media relations is managed by UCM. Please direct all media inquiries to the university’s central marketing team.
VIDEO PRODUCTION

Video support is not offered by our team, but there are numerous alternate resources available. We recommend reaching out to UCM, or one of our approved, external vendors, Sway the Crowd or Ologie
