Keep Working On Campus during the COVID-19 Pandemic

In our continued commitment to protecting the health and safety of our students, faculty, and staff, Ohio University has implemented several new requirements, which are effective immediately and in accordance with guidance issued by Gov. Mike DeWine to help control the potential spread of disease.  

As some employees slowly begin to return to campus for specified reasons this summer, we have implemented the following requirements to help stop the spread of disease.

  • Immediately prior to reporting to campus, all employees are required to measure their body temperature and self-evaluate to ensure there is no onset of illness.  Leave policies and procedures shall be followed if unable to report to work or if you become ill during the workday.   
  • Employees should always practice social distancing by ensuring a 6-foot distance between people.  
  • In accordance with published ODH guidelines, employees are required to wear a face covering while on campus. If you are working alone in your office, you may remove your mask unless another person enters your space; however, the mask must be worn properly prior to entering any other space where employees could potentially come in contact with another person, including exterior campus spaces. If you do not have access to a mask, please contact Facilities, Maintenance and Safety (FMS) at 740.593.2911 to make arrangements to obtain one. Please contact the Office for University Accessibility if there is a reason you are unable to comply with this requirement.
  • Employees should engage in regular handwashing and hand sanitizing and are required to frequently disinfect their personal workspace.
  • Contact Facilities, Maintenance and Safety at 740-593-2911 or fmservicedesk@ohio.edu before returning to your on-campus workspace. FMS needs to take several actions to ensure your building and workspace is in optimum operating order before your return. Additionally, cleaning protocols may need to be changed to address increased occupancy.

    Forward Your Phone


    • You can forward your calls to your cell phone or home phone, and check your voicemail online. Please refer to Accessing your Phone Remotely for instructions (please note you will need to connect to Campus VPN to do so).

    • If you work as part of a call center or need multiple lines, you can use Jabber (a desktop application you can use to use to replace your work phone). Please email the OIT Help Desk for help with Jabber.

  •  

    Multi-factor Authentication (MFA)


    • If you use your work phone for Multi-Factor Authentication (MFA) and forward your calls, you won't need to make any changes.
    • If you don't forward your calls, please refer to Help and Resources: Multi-Factor Authentication for your options. The simplest alternative is to use the Duo smartphone application, as detailed in “Use the Duo Mobile App”. Alternately, you can use a phone at your remote work location, as detailed in “Add or Remove a Device”.

    Set up Campus VPN


    In most cases you don't need to connect to Campus VPN - and you should only connect when you need to. The Campus VPN provides access to a few resources like remote desktop, remote printing, and shared network storage that normally would require you to be connected to the campus network. Please refer to VPN Access for instructions to connect.

  • Set up VDI


    Ohio University uses Virtual Desktops (VDI) to provide remote access to a full Windows desktop environment from any PC, Mac, iOS or Android device. If you need to use a VDI environment, please reference the Virtual Desktops (VDI) instructions to download the client and set up access.
     

    Additionally, the VDI environment has dozens of applications available to all faculty and staff. In this case, the user is able to use the application even if it isn't installed on the computer they are using. This is ideal when working on a personal computer. VDI now contains Microsoft Office, Adobe Creative Suite, and many other applications.

  • Get Software


    • Ohio University has licensing agreements with many software vendors. Whether or not you can use the software on either a university or personal machine depends on the terms of the licensing agreements. Please refer to the Software catalog for details.
    • Microsoft Office 365 enables e-mail, calendaring, file storage, sharing and collaboration.
    • Microsoft Teams is a collaboration tool that provides group chat, instant messaging, audio or video calls, and meetings among other features.
  • Stay Secure


    If using a personal computer to work remotely, make sure that computer is secure. IT offers several solutions for sharing data securely.
